LOCATION: Vernon CA
COMPANY OVERVIEW: Our client, a Contemporary Womenswear Denim Fashion Brand, based out of Los Angeles, is looking for an Executive Assistant & Personal Assistant to the Creative Director
POSITION OVERVIEW:
The Executive Assistant and Personal Assistant to the Creative Director will provide administrative support, perform advanced clerical duties including reservations, travel, calendar management, schedule personal appointments and more. This role will be to handle all projects assigned to support the Creative Director.
This position requires a high level of confidentiality and discretion as well as excellent time and project management skills. This individual must possess mastery-level skills related to scheduling for executive calendars, travel logistics, meeting planning and coordination, and communication with a wide variety of internal and external contacts at all levels.
The successful candidate must be enthusiastic, collaborative, and eager to take on various project management responsibilities, and must be well organized, effectively multi-task, prioritize, and have excellent written and verbal communication skills.
DUTIES:
- Help with scheduling meetings and maintaining calendars with the ability to understand and anticipate challenges facing leadership executives and be able to manage and reschedule priorities effectively and proactively.
- Coordinate travel arrangements including flights, hotels, local transportation, providing itineraries, and arranging passport/visa requirements if necessary.
- Help with ordering lunch and supplies.
- Assist in showroom during line reviews and market.
- Assist with Wholesale and Direct to Consumer projects as needed.
- Compile reports, letters, and memos using various software tools, including Word, Excel, and PowerPoint.
- Handle and maintain highly confidential and sensitive information.
- Reconcile time and expense reports and manage weekly processing; ensure adherence to compliance guidelines.
- Prepare all types of correspondence often acting independently, including letters, memos, agendas, and reports; prepare additional documentation as needed including composing, proofreading, formatting, and editing documents.
- Maintain hardcopy as well as electronic filing systems for all standard and confidential files.
- Use analytical ability to gather and summarize data, make decisions, and solve problems.
- Utilize effective time management to ensure key activities are accomplished promptly and accurately.
- Take ownership of work; think strategically and be resourceful.
- Organizing and maintaining files
- Troubleshooting problems and resolving issues
- Respond to incoming mail and requests for information.
- Answer calls, handle routine and complex questions and maintain a log of messages.
- Perform internet research as needed.
- Travel on an as needed basis.
- Develop a good working relationship with all levels of staff.
SKILLS/ QUALIFICATIONS:
- Minimum of 2-3 years’ experience as an Executive and Personal Assistant.
- Professional and positive demeanor.
- Excellent verbal and written communication skills, involving high-level communication both internally and externally.
- Ability to work independently, with strong problem-solving skills.
- Highly organized and able to prioritize with proven accuracy and attention to detail.
- Strong analytical and project management skills.
- Discreet and respectful of privacy
- High level of personal and professional integrity and ability to exercise sound judgment.
- Ability to maintain confidentiality and professionalism in all situations.
- Internet savvy and proficient in Microsoft Windows, including Word, Excel, and Outlook
- Exceptional ability to organize work and tasks; attention to detail and excellent follow-through.
- Ability to thrive in a fast-paced environment and execute effectively against multiple projects and deadlines.
- Demonstrated ability to take initiative, anticipate needs and exercise independent and sound judgment.
- Extremely flexible: must be able to constantly prioritize a multifunctional position and work overtime as required.
Salary: $65K- 75K per year
